In many growing Indian companies, the biometric machine at the gate works perfectly, and payroll is still done in Excel. Someone downloads the punch report, matches it against leave registers and WhatsApp messages, argues about late marks, and builds salary sheets by hand at month end.
Connecting attendance directly to an HRMS removes most of that work. Here is how it works, and what to check before you choose software.
How the flow works
- Employees punch on a biometric or face-recognition device.
- The HRMS fetches the punch logs automatically, over your network or the device's cloud service.
- Shift rules are applied: start and end times, grace minutes, half days, late marks and overtime.
- Leave and holidays are merged in, from approved leave requests and the holiday calendar.
- Payroll is calculated from payable days, with deductions and statutory components.
- Payslips and reports are generated, and the data is ready for the bank transfer and for your accountant.
Once this runs, month end becomes a review, not a rebuild.
Step 1: check your devices
Before buying anything, list every device you have: brand, model, location and how it connects. Most common devices can share logs with HRMS software, either over the local network, through the maker's cloud, or by file export. Replacing devices is rarely necessary.
Step 2: get your masters right
Software can only be as accurate as its setup. Prepare:
- an employee list with the device user ID for each person;
- shifts, including night shifts and rotating rosters;
- leave types and balances;
- the holiday calendar for each location;
- salary structures for each grade or employee.
Step 3: agree the rules once
Most month-end arguments are really about rules nobody wrote down. Decide and record:
- grace time and how many late marks make a half day;
- when overtime applies and how it is paid;
- what happens with a missed punch (and who can correct it);
- how weekly offs and holidays are treated for shift workers.
Put these rules in the HRMS, and the same rule applies to everyone, every month.
Step 4: run attendance first, then payroll
Start with attendance only for a few weeks. Let managers see daily attendance, fix missed punches and approve leave in the system. When attendance is clean, switch on payroll, and run your old method in parallel for one month to compare the totals.
Statutory deductions
Payroll in India involves statutory components such as provident fund (PF), employees' state insurance (ESI), professional tax (which varies by state) and income tax (TDS), depending on wages and location. Rates, ceilings and rules change, and labour code reforms are being rolled out, so confirm the current rules with your accountant or compliance adviser when you set up salary structures.
Common mistakes to avoid
- Wrong device user IDs, so punches land on the wrong employee.
- Shifts not set up for night or rotating staff, causing false absences.
- Manual edits outside the system, which bring back the arguments.
- Switching payroll before attendance is clean.
What to look for in HRMS software
- Direct sync with your existing biometric devices
- Shifts, rosters, grace time, late marks and overtime rules
- Leave requests and approvals by managers
- Payroll based on attendance and leave, with payslips and reports
- Employee records in one place
- The option to start with attendance only and add payroll later
- Shared data with your ERP, so labour cost can be seen alongside project cost
CROVO-Attendance starts from ₹60 per employee per month plus GST, with leave and payroll added when you are ready. Book a free CROVO-HRMS demo to see your own attendance flow on a live system.
Frequently asked questions
Can a biometric attendance machine be connected to payroll software?
Yes. Most biometric devices store punch logs that HRMS software can fetch over the network or import. The HRMS then applies shifts, late marks, overtime and leave, and uses the result to calculate payroll. CROVO-HRMS pulls attendance straight from biometric devices.
What is the cost of HRMS software with biometric attendance in India?
Pricing is usually per employee per month. CROVO-Attendance starts from ₹60 per employee per month plus GST, and leave and payroll can be added as you grow.
Do we need to replace our existing biometric machines?
Usually not. Most common biometric and face-recognition devices can share their logs with HRMS software. Check the model and how it connects (network, cloud or USB export) before you buy anything new.
How long does it take to move from Excel payroll to HRMS?
Attendance sync can usually be running within days once devices are reachable. Moving payroll typically takes one or two monthly cycles, running the old and new methods side by side for the first month to check the numbers.
